Hiring a Temporary Employee (TES)

Temporary Employees (TES), while not *permanent, are employees. The hiring process is still governed by the Office of Human Resources.  

The Office of Human Resources (OHR) has prepared the following guidelines to assist hiring managers and departments with locating pertinent information regarding the recruitment and hiring process of TES from position inception/approval through onboarding.

*TES Employees can work no more than 944 hours in a calendar year. 

The TES Form is the authorization to hire and must be approved by the Divisional Executive before the recruitment process can begin.  Please complete a TES Form and a TES Job Description Template and forward both required documents to TES@stockton.edu.  The job description will be reviewed by Talent Acquisition to confirm hourly compensation rate is in alignment with appropriate market rates and any contractual agreements.

In the job description template, if you select that the job needs to be posted:

  • Talent Acquisition will notify the Hiring Manager via email when the position has been posted to Stockton's website

In the job description template, if you select that the job does NOT need to be posted:

  • In the Applicant Tracking System, the hiring department will review all applicants and continuously update statuses to the appropriate option (i.e. Reviewed - Qualified Proceed, Interview Scheduled) until a successful candidate is identified
  • Once a candidate is selected, a verbal offer can be made by the Hiring Manager

Once an offer of hire is accepted:

  • Written offers are sent by Talent Acquisition via the Applicant Tracking System; all offers are subject to and contingent upon completion of the University’s mandatory background check and appropriation of funds by the State of New Jersey and receipt by the University
  • OHR sends the hired candidate a welcome email instructing them to complete all necessary onboarding forms, including the link for section 1 of the electronic I-9 form
  • I-9 verification must be completed by the hiring department within three days of the new hire's start date
  • Z-number is generated AFTER all onboarding, background check, and I-9 have been completed
  • An ID Card Request Form with the Z-number of the hired TES will be sent by Talent Acquisition via email to the hiring department

The hiring department submits an EPAF via Self Service Banner (SSB) using existing or newly generated Z-number.

When a hiring department wants a Student Worker position posted on Stockton's website, a completed job description template  must be sent to the Talent Acquisition team within OHR.

  • Talent Acquisition will notify the Hiring Manager via email when the position has been posted to Stockton's website internally

If the job was posted:

  • In the Applicant Tracking System, the hiring department will review all applicants and continuously update statuses to the appropriate option (i.e. Reviewed - Qualified Proceed, Interview Scheduled) until a successful candidate is identified

If the job was not posted:

  • The proposed hire must apply to the Student Worker Positions posting or already have an application in the Applicant Tracking System

Once a candidate is selected, a verbal offer can be made by the Hiring Manager.

Once an offer of hire is accepted by a new Student Worker (has never worked for Stockton previously):

  • All offers are subject to and contingent upon appropriation of funds by the State of New Jersey and receipt by the University
  • OHR sends the hired candidate a welcome email instructing them to complete all necessary onboarding forms, including the link for section 1 of the electronic I-9 form
  • I-9 verification must be completed by the hiring department within three days of the  new hire's start date

Once an offer of hire is accepted by a returning Student Worker (has worked for Stockton  previously), proceed to Step 4.

The hiring department submits an EPAF via Self Service Banner (SSB) using existing generated Z-number.
